Volunteer Info
The Sand Creek Sea Lions swim team is run entirely by family volunteers. Each family is expected to fulfill at least one volunteer shift at each meet their child swims. This includes regular season meets, Divisionals and all *Invitationals. It takes a lot of volunteers to run a meet and this policy ensures all meets take place in an orderly and safe manner, and no family is overly burdened.
Each family is required to submit a $500 volunteer deposit at registration. If the volunteer requirement is not met, the credit card on file will be charged the $500 at season end.
Team sponsorship opportunities are available that may exempt you from this requirement. Please contact a board member if you are interested in becoming a team sponsor.
We understand that some families may have extenuating circumstances that prevent them from fulfilling a volunteer shift. Please contact the volunteer coordinator for assistance with meeting the volunteer requirement.
Volunteer procedure -
1. The volunteer sign-up will be available on the website the Sunday prior to each meet. Please sign-up for your volunteer position by Tuesday. It is unlikely that we will have more volunteers than positions, however, in the event the job sign up becomes full, please email the volunteer coordinator and we will open more positions.
2. Check in at the volunteering table when you arrive at the meet or by 7:00am. Some jobs have early start times so look carefully at the job you are signing up for. You will receive a badge identifying your job.
3. Upon completion of your shift, return your badge to the volunteer table and sign out. Your shift will be recorded online.
Additional information -
Several season long volunteer jobs are available. These include Age Group parent, Equipment Team and Ready Bench. Please watch for emails or reach out to a board member if you are interested and able to commit to a season long job.
*Summer Champs, All Stars and Ponderosa are our invitational meets. The teams that host these meets will assign timing shifts to our team based on number of participants. You must be available and prepared to volunteer at each invitational your child attends.
Volunteer Job Descriptions
Welcome to the 2026 Sand Creek Sea Lions swim season! We have many volunteer opportunities available and rely completely on parent involvement to run our meets! Please review the Volunteer Policy to ensure you are familiar with the requirements. Remember, you are responsible for completing at least one shift at each meet your child swims!
With the exception of timer, scribe and **official, you are able to step away from all jobs to watch your swimmers’ races! Timer, scribe and official already have front row viewing. Volunteer jobs are described below. Job information for Divisionals and Invitationals will be sent out as it becomes available.
Apparel Sales
Responsible for working at the apparel table, assisting in the sales of apparel and other related items.
Computers - Data Entry
Responsible for entering the swimmers’ times into the computer system after each race.
Computers - Checker
Responsible for verifying the swimmers’ times entered into the computer match the time listed on the scribe sheets.
Concessions -
A variety of positions are available working in our concessions stand. A hat and closed toe shoes are required for all positions.
Food Prep - Prepare a variety of foods
Grill - Manage the grill and ensure foods are cooked properly
Order Taker - Take orders and manage cash box
Runner - Fill orders and bring to order taker
Equipment - Meet Set-up
Responsible for arriving at the pool at 5:45am the morning of home meets. Work with the Equipment Team to complete the physical set-up of everything necessary to run the meet. This job starts at 5:45am and finishes up by the time the meet starts.
Equipment - Meet Tear-down
Responsible for working with the Equipment Team on the physical tear down and clean up at the end of the meet. This job starts near the end of the meet and lasts until all items are put away after the meet is finished.
Meet Runner
Responsible for distributing heat sheet information between computers, scribes, ready bench and officials.
Ready Bench
Responsible for lining up and organizing swimmers prior to each heat. Verifies that each swimmer is located in his/her assigned lane.
Timer/Scribe
Responsible for using a stop watch to record each swimmer's race times. Immediately following each heat, write down the time as well as the time reported by the co-timer in your lane.
Timer
Responsible for using a stop watch to record each swimmer’s race times. Report the time on your watch to the Timer/Scribe you are working with.
Swimmer Check-in/Ready Bench
Responsible for working at the swimmer check-in table, checking-in swimmers as they arrive at the meet. Once check-in is complete, this volunteer moves to the ready bench.
**Official
This is an NWAL certified position. Volunteers are required to attend certification classes appropriate to the level of officiating. This is a meet long position. Please see a board member if you are interested in becoming an official.
